Rodriguez Luxury Cars provides corporate car service across New York on invoiced monthly accounts rather than card-by-card payment. Cost centres and reference codes travel with each booking so trips reconcile cleanly, executive assistants can book on a traveller's behalf, and we hold the same chauffeur across a multi-day programme wherever possible.
Billing that finance teams do not have to chase
The usual reason a company moves off rideshare for executive travel is not the ride, it is the reconciliation. Variable fares with surge multipliers, receipts scattered across personal accounts, and no way to attribute a trip to a cost centre.
Corporate accounts here are billed monthly against a single invoice. Each booking carries whatever reference you need — cost centre, matter number, client code, project — and that reference appears on the line item.
Rates are fixed and published rather than dynamic, which means the figure approved at booking is the figure that reaches finance. There is no surge to explain.
Booking on somebody else's behalf
Executive assistants can reserve without the traveller present, and the confirmation goes to both. Changes go through dispatch directly rather than through an app queue, which matters when a meeting moves at short notice.
For recurring travellers we keep preferences on file — preferred vehicle, whether they want the cabin quiet, which entrance they use at a building they visit weekly. Small things, but they are the difference between a car service and a competent one.
For a programme of visits we will hold the same chauffeur across the whole week where the roster allows. A chauffeur who already knows the itinerary and the principals removes a great deal of friction from a long trip.
Roadshows and investor days
Dense schedules with tight gaps are where hourly hire earns its cost. The vehicle waits, the materials stay in the car, and a meeting that overruns does not cascade into a missed one.
For multi-vehicle movements we run everything under one reservation with a single point of contact, so nobody is coordinating four drivers by text between buildings.
Where a schedule crosses into New Jersey or Connecticut we plan the crossings rather than discover them. The Hudson tunnels in particular are the most common cause of a roadshow running late, and they are avoidable with an earlier departure.
Airport work for visiting executives
Inbound visitors get meet-and-greet inside the terminal as standard, with flight tracking so a delayed arrival does not become somebody's problem at head office.
For international arrivals in particular this is the part that shapes a visitor's impression of the trip. Being met at baggage claim after eleven hours in the air is a materially different arrival from finding a rideshare lot.
Airport transfers are flat-rated, so a delayed flight and a slow run into the city do not produce a surprise on the invoice.
