How Booking Works

Home How booking works

Booking a chauffeur with Rodriguez Luxury Cars takes five steps: send us the trip, receive a written confirmation with a fixed price, have your flight tracked automatically, get your chauffeur's details before pickup, and be met inside the terminal or at the kerb. The price you are quoted is the price you pay.

How booking a chauffeur works

Five steps, none of which require you to chase anybody.

  1. Send us the tripPickup address, destination, date and time, and — for an arrival — your flight number. Tell us the number of passengers and the number of bags rather than guessing a vehicle; matching the car is our job.
  2. We confirm a price, not an estimateYou get a written confirmation with a fixed figure, the vehicle class and the chauffeur's details. That figure is what you are charged. It does not move with traffic, weather or demand, and there is no surge multiplier applied later.
  3. We track the flightFrom the moment you book, your flight number is monitored. A delay, an early landing or a diversion moves the pickup automatically. Nobody needs to call anybody.
  4. Your chauffeur makes contactYou get a message with the chauffeur's name, the vehicle and the exact meeting point before pickup. On arrivals that message goes out when you land, once the terminal is confirmed.
  5. Meet-and-greet or curbsideBy default your chauffeur waits inside at baggage claim with a name placard and takes the bags. If you would rather walk straight out, choose curbside at booking instead.

Choosing the right vehicle

VehiclePassengersLuggageWhen it is the right call
Business Sedan1 – 3 passengers2 large bagsThe default. A solo traveller or a couple on a domestic trip, or two colleagues who want to talk on the way in. If you are flying internationally with two checked bags each, size up.
Luxury SUV4 – 6 passengers5 large bagsFamilies, golf clubs, ski bags, camera equipment, or three colleagues who each brought a case. The most common upgrade, and usually the right one when in doubt.
Sprinter Van7 – 14 passengers14 bagsWedding parties, corporate roadshows, crews and any group that has to arrive together. Per passenger it is the cheapest option we run, because it replaces three sedans.

The mistake we see most often is booking by headcount alone. A sedan seats three, but three people returning from a two-week trip have six checked bags between them and will not fit. Tell us both numbers.

Child seats take a passenger position. A family of four with two car seats is an SUV booking, not a sedan booking, and it is far easier to sort that out at reservation than at the kerb.

If your group is arriving on separate flights, a Sprinter with a single pickup window is usually cheaper and far less stressful than three sedans on three schedules.

How a chauffeured car compares to a taxi or rideshare

We would rather set this out plainly than pretend a chauffeur is the right answer to every journey. For a short trip in normal conditions with hand luggage, a taxi or rideshare is cheaper and just as quick. The table below is where the differences actually sit.

The honest summary: a booked car is not competing on price against a taxi at eleven in the morning, and it will not win that comparison. It competes on certainty — a fixed figure, a car that is definitely there, and somebody inside the terminal who takes the bags. Those are worth paying for when the trip cannot afford to go wrong, and not worth paying for when it can.

Our full breakdown is in the black car versus Uber guide.

Who we dispatch

Every chauffeur we dispatch is fully licensed and insured, TLC-compliant, and carries commercial liability coverage. That is the baseline rather than the selling point — it is what separates a licensed operator from a private car with an app on the dashboard.

Beyond licensing, what actually distinguishes an airport chauffeur is airport-specific knowledge: which arrivals level a given terminal uses, where the holding area is when a flight slips an hour, and which approach road is moving when the usual one is not. That is learned over years at a specific airport, and it is why we do not subcontract airport work to drivers who do not know the building.

Vehicles are garaged and detailed between every booking, with climate-controlled cabins, bottled water and phone chargers as standard, and a cabin kept quiet unless you would prefer otherwise. Every car is inspected before it leaves the garage, so what pulls up is exactly what you reserved.

Corporate accounts and group travel

Corporate accounts are billed monthly against a single invoice rather than card-by-card, which is usually the reason finance teams move away from rideshare receipts. Cost centres and reference codes can be carried on each booking so trips reconcile without anybody chasing them.

For roadshows and multi-day visits we hold the same chauffeur across the whole programme where we can. It sounds like a small thing and it is not — a chauffeur who already knows the itinerary, the principals and where they like to be dropped removes a great deal of friction from a long week.

Executive assistants booking on behalf of somebody else can reserve without the traveller present, and the confirmation goes to both. Changes go through dispatch directly rather than through an app queue.

Groups of seven or more

Groups of seven or more are a Sprinter booking. Per passenger it is the cheapest way we can move a party, and it has the considerable advantage that everybody arrives at the same time.

For larger movements we run multiple vehicles under one reservation with a single point of contact, which matters at a wedding or a conference where nobody wants to be coordinating four separate drivers by text.

For ongoing business travel see corporate travel, and for parties and wedding transport see wedding service.

Common mistakes when booking car service

These are the six that actually cost people money or flights, in the order we see them.

MistakeWhy it matters
Booking by passenger count and forgetting the luggageThe single most common problem. Three passengers fit a sedan; three passengers with six checked bags do not. Give us both figures and the vehicle will be right.
Leaving it too late for an international departureThree hours before wheels-up from Manhattan is a floor, not a target, once you are checking bags. Check-in and security at peak regularly run ninety minutes on their own.
Assuming the quoted rate includes gratuity and tollsAcross the industry it often does not, and a bare rate plus twenty per cent plus tolls is a very different number. Ours are inclusive; ask whoever you book with whether theirs are.
Requesting a child seat on the dayA seat has to be collected and fitted before the vehicle leaves the garage. Requested at booking it is routine; requested at the kerb it is impossible.
Not sending the flight numberWithout it we cannot track your flight, which means a delay becomes your problem instead of ours. It takes four seconds to include and it is the single most useful thing you can give us.
Booking three separate transfers for a multi-stop dayFrom about the third stop, hourly hire is cheaper and very much easier — one chauffeur, one vehicle, and your belongings stay in the car between stops.

What is included in every booking

  • All tolls and airport fees
  • Standard gratuity
  • Meet-and-greet inside the terminal
  • Flight tracking with automatic pickup adjustment
  • 60 minutes complimentary airport wait (90 for Sprinter)
  • Bottled water and phone chargers
